   MOBILE MANAGER allows the manager to easily find, enter and track deed restrictions on property!

Financial Management:

  • Collect assessments and late charges, keep detailed books, records and account receipts and expenditures affecting the community; provide monthly statements of operations, including balance sheet, income/expense statement, general ledgers and transaction journal. Our state of the art customized financial software program is geared to community association management.
  • Enforce prompt collection of homeowner's dues.
  • Prepare, or assist the Board in preparing, annual budgets and reserve accounts analysis.
  • Review with the Board any costs to be incurred by the association over and above the contract costs and/or amounts previously authorized by the Board.
  • Prepare checks drawn on the accounts of the association for payment of the association's debts and obligations and distribute the same to the appropriate creditors.
  • Coordinate with a CPA for financial reports required by law.
  • Prepare and distribute annual financial reports to all homeowners.
  • Prepare financial reports as requested by the Board.
  • Make financial records of the association available for inspection during normal business hours.
  • Forward by mail to each delinquent homeowner a past due statement for all fees due.
  • Assist the association's attorneys in all matters relating to collection of assessments or enforcement of deed restrictions.

 

Administration and Communication:

  • Provide interactive website services which allow owners to view account and deed restriction history.
  • Facilitate the general and administrative operation of the association as required by the By-Laws and the applicable state statutes. This includes maintaining the minute/resolution books, preparing management reports, coordinating and attending all Board meetings, coordinating and attending the Annual Meetings and handling all other necessary administrative and communication type items.
  • Enforce the Declarations, By-Laws, and Rules and Regulations. The success of an association is often the result of diligent inspections, timely communications and consistent enforcement of these documents.
  • Analyze, on an annual basis, all existing maintenance and service agreements, as well as insurance policies, to determine that the association is receiving the best results for the best price. We provide recommended specifications for outside contracts, such as landscape, to facilitate performance levels, as well as establish a standard for comparison. We can negotiate most maintenance / service contracts swiftly and can usually save our associations money. We have significant experience with many qualified Independent Contractors.
  • Receive communications from homeowners reporting facilities in need of repair.
  • Research, update and/or correct errors in assessment and ownership databases, including homeowner ownership assessment, penalties and adjustments to ensure the integrity of the data base records.
  • Handle homeowner assessment inquiries and all related correspondence.
  • Upon notification from the title company or a homeowner of the purchase of a home within one of the association, Select notifies the new homeowner in writing of his/her obligation to pay the association assessments.
  • Upon discovery of a deed restriction violation from the on-site inspections, immediately record all violations.
  • Assist the Board in forming the various committees.
  • Provide provisions of meeting room (if required), and agenda compilation and distribution.
  • Provide Annual Meeting assistance by handling mailing of meeting announcements, assistance in meeting a quorum and compiling and distributing the agenda for the meeting.
  • Assist with community newsletters production and distribution.
  • Prepare agendas and other items for Board Meetings.
  • Handle all correspondence directed to the homeowners association.
  • Maintain a file on each unit, which will include: closing information correspondence, architectural control approvals and deed restriction letters, return mail, etc.
  • Assist the Board in processing of insurance claims on common areas and work with the adjusters and agents.
  • Maintain master files of association documents, contracts, correspondence, insurance policies, etc.

 

Maintenance and Repair:

  • Provide maintenance and repair of the common elements; respond immediately on 24-hour basis to emergency needs.
  • Initiate programs of preventive maintenance consistent with the budgets and the documents.
  • We can negotiate most maintenance items in a timely manner and can usually provide the association substantial savings. Should outside contractors be necessary our experience and relationships with multiple contractors ensures quality work for the best price.
  • Make regular on-site visual inspection tours to inspect the quality of the work performed by the contractors and to identify facilities in need of repair.
  • Establish liaison with contractors for corrective work on common areas.
  • Our network of reputable contractors insures low cost repairs and maintenance.
  • Notification to the Board of serious non-routine maintenance needs along with proposed solutions.
